Board Meeting Minutes April 08

May 6, 2008 by Gordon Newman

Del Prado Cabana Club
Board of Directors Meeting
April 8, 2008 Kurotori home

In attendance: Terry Beatty, Robin Kurotori, Peggy Sue Kruger, Randy Vandiver, Greg White, Bud Mayes, Joan Strom

Missing: Martin Gates, Garry Bardakos,

Meeting called to order 7:14 pm.

Secretary’s Report – Robin: Minutes from the last meeting were read and approved.

Treasurer’s Report – Greg – We have $120K in the bank. $45K or $50K more will be going toward the pool. We should be sitting at about $90K after all dues were in and bills paid. We need to be frugal this year but we should be ok. Insurance payment, board liability, payroll expenses still forthcoming. We should still be able to do parties and regular expenses and we should be ok based upon models that Greg ran. Should end the season about $49K below where we were last year. We have about 20-25 C members who have not sent in dues yet. May 1st is the deadline. Could mean another $7500 in new member buy-in should we need to rotate those that have not paid out and bring in new members.

Greg brought up a problem that occurred last year when guards were closing out at the end of the night. There were some discrepancies on the till count out last year so he will make a reconciliation sheet which will include number of 1, 5, 10, etc. and then the closing guard will initial and seal the envelope. This procedure will be required by all closing lifeguards and should help limit or eliminate problems.

Treasurer’s report accepted.

Membership - Martin – not in attendance.

Operations – Garry absent -Terry and Randy updated everyone. Garry checked everything on our contract with the landscaping company and landscapers are doing everything they should be doing. Will not be raising rates so we will keep things as is.

Discussed the snack shop being open with ice creams and waters during swim team conditioning. Terry or another Board member will make a trip to Costco to stock up prior to conditioning.

Property – Randy. Pool heater has been replaced. Pool is completed pending the final walk through. Everything looks really good. There are a few rough spots but those will be pointed out and repaired.

Pool Liaison – Peggy Sue – Email was sent out to lifeguards asking for a response confirming their desire to return for the 2008 summer and she has still not heard from a few. Emmie will come in and teach lessons if Shannon Kellman does not respond or does not want to return. Met with Adele, potential pool manager, and found her to be quite qualified. She could certify the guards prior to the season. This might work out very well and would be a nice way to start the season and get all guards trained and focused. Adele was able to confirm that DPCC is an American Red Cross provider so we should be able to offer the trainings on site. Lisa Garcia is another potential – will meet with her Sunday at 5pm. A decision will be made after Sunday’s interview. We should have plenty of guards to start the season.

Swim Team Report – Joan – The team is down to 140 swimmers. Met with four coaches over Spring Break and set age group practice sessions. Will be a bit different from last year. She will send out the practice schedule via email to all team members. There will be Monday, Tuesday, and Thursday evening practices once school is out. Board briefly discussed allowing the team to practice Monday morning to give the team more pool time. This means there would be a Monday morning and Monday evening practice. Jamie, Julianne and Taylor would be there. Monday morning practices would be less structured and allow kids to do both morning and evening practices on Monday if they desire. Morning practice would start at 8. We will need a deck monitor for two weeks in June during pre-season practice. Will not have a guard during normal morning practices. Greg moved for Monday morning practice to be offered to the swim team. PS seconded. Passed. Swim team coaches will do a heavy sales pitch to get the kids into swim lessons. In reviewing age groups for Conditioning it was noted that there was a minimum age requirement of 7. Coach John really feels that the 6&under who have been on the team before could benefit from conditioning. Current restrictions require prior swim team experience. It was determined that if John approves the 6 and under swimmer, they may attend Conditioning.

Special Projects – Sandy is no longer in the neighborhood and is no longer a member of the DPCC. Special Project position is currently an unfilled Board position.

Communication Coordinator – Bud – The Del Prado Website has been designed thanks to Gordon Newman. It still needs some updating. Robin will send Bud a pdf version of the newsletter. Will look into DelPrado.com as website address. Looks like we have a lot of valid email addresses so we are making progress.

Old Business:
Salaries set, conditioning prices set, updated calendar.

New Business:
Terry presented a Business Plan from neighborhood boy, Matthew Martin, offering to recycle for us. He will be responsible for collecting all cans and bottles on an agreed upon schedule. In exchange, he will give a percentage back to the club. Greg suggested that we purchase recycling cans and support this endeavor. Suggested a 30/70 split and we buy the cans for the recycled bottles and cans. Terry will connect with the Martins to accept the proposal and work out the details.

Discussed the confirmed staff for conditioning: Peterson, Mayes, Reimer. PS to contact Cameron Sullivan to see if she is interested.

Check in Book for Conditioning – Greg and Robin will share Duties. Greg may be able to do Mondays and Wednesdays, Robin to do Tuesdays and Thursdays starting April 28th. Greg to draft the spreadsheet for check in. Sign ups will be taken at the swim team meeting on April 23.

Next meeting: Tuesday, May 13. 7pm at the pool unless it is cold.

Meeting was adjourned at 8:47 pm.

Respectfully submitted,
Robin Kurotori
